How it runs

Write the rules of a valid booking
Duration, buffers, locations, who can book what, and which requests are never self-serve. A clinical question, a group buyout, or a rate exception is not a slot.

Read the live calendar
The agent checks the reservation system, PMS, practice schedule, or showing calendar before it offers a time. It does not invent an opening.

Confirm and write it back
A booking is saved in the same system the front desk uses, with the caller's name and the reason for the visit. The caller hears the time back before the call ends.

Remind, then stop
Reminders and simple reschedules can run on their own. Cancellations that trigger a fee, a deposit, or a clinical decision wait for a person.
Where it shows up
Clinic scheduling
Patients book, move, and confirm visits. Insurance and registration questions that have a record can be answered. Symptoms, treatment, and results go to the care team.
Rooms and late checkout
The agent checks the property system for a room, a date change, or a late checkout that the policy already allows. Rate matches and group blocks go to reservations.
Tables and waitlists
Guests book a table, join a waitlist, or cancel. Menu and allergen answers come from the menu on file. A large buyout or a private-event request is a lead, not a reservation.
Showings
After a lead is qualified, the agent offers open showing times and writes the appointment to the agent's calendar. Pricing and negotiation stay with the broker.
Questions we get
Will it double-book?
Only if the system it writes to allows two holds on one slot. We test that path before go-live and treat a conflicting write as a failed booking, not a success.
Can it give medical or financial advice while booking?
No. It can schedule and read status. Clinical questions, investment advice, and mortgage recommendations are transferred with the reason for the call attached.
Does it work after hours?
Yes. That is the usual reason to start. The next morning the calendar already shows who is coming, and the exceptions are a short list.
What calendars can it use?
The one your desk trusts: a practice schedule, a PMS, a reservation book, a showing tool, or a shared calendar. If it has no availability API, we do not pretend the agent can see open times.
